The form status is a value that allows you to define the state that a form is in.
The built-in statuses available below have an intended use case, however your organization may have other uses for some of these statuses.
Statuses in italics below are automatically set by CaseLocker, and cannot be set manually.
The following statuses allow the Contact to edit and submit the form:
- New - The default status when a form is created, and has not been touched by a contact.
- Client Started - The form is automatically moved into this status if the Contact edits the form and it is in the "New" status.
The following statuses make the form read-only to the Contact, but allow users within your organization to edit the form:
- Client Submitted - A status that can only be set by the Contact when they submit the form. (Not applicable when the Client Signs on Submission).
- Completing In-House - Intended use: When a form is being completed internally by your organization, such as when transcribing from a mailed copy or making corrections to data.
- Under Review - Intended use: When a form is being reviewed by your organization.
- Deficient - Intended use: To indicate when a form is deficient and requires correction.
- E-Signature Declined - An automatic status that is set when the Contact (or any Additional Signer) refuse to sign and explicitly decline to sign the form.
The following statuses make the form read-only to all users and the Contact. You can change the form out of these statuses, but it may void any completed electronic signature when you do so. A warning will appear if you attempt to change the status from a read-only status to an editable status and a signature exists.
- Client Signing - An automatic status that is set when the Contact Signs on Submission. Will move to E-Signature Returned or E-Signature Declined, depending on if the Contact completes the signing process.
- Request E-Signature - Change a form to this status to send an email to the client and prompt them to sign the form.
- E-Signature Returned - An automatic status that is set when a Contact (and all Additional Signers) have completed signing the form.
- Complete - Intended Use: All actions on the form are Complete, and if applicable is ready to be Submitted.
- Submitted - Intended Use: The form has been submitted to relevant parties, such as defense.
Finally, there is the Not Completing status. Forms in CaseLocker cannot be deleted to ensure data retention, therefore Not Completing is the "archival" state. Forms in the "Not Completing" status will be hidden from Contacts, and cannot be edited by any user. You can change the status out of Not Completing to edit any data or restore the form.
